Payroll cleanup for construction crews paid by app or cash
Payroll Cleanup is a one-time $497 service for small construction companies that paid crews through Cash App, Venmo, Zelle or cash all year: we organize the payment records and W-9s so your year-end paperwork is ready for your CPA. Your CPA decides how each worker is classified and handles all filings.
How payroll cleanup works with Outrigger
Plenty of small contractors pay their crew the fastest way they can. A Zelle on Friday, a Cash App when someone needs gas money, cash on the tailgate when the job wraps. It works during the year. Then January comes, your CPA asks who you paid and how much, and the answer is spread across three apps, two bank accounts and a notebook in the truck.
Payroll Cleanup pulls it together. You send us your payment history from each app and your bank statements, and we sort every payment by person, total it for the year and line it up with a W-9 for each payee. Where a W-9 is missing, we request it. You end up with one organized record per person and a summary you can hand to your CPA.
We want to be clear about where our part stops. Your CPA decides whether each worker should be treated as an employee or a 1099 contractor, and your CPA handles the filings. We do not give tax advice, do tax filings or decide classification. We organize the records so your CPA can do their job faster and you are not paying them to dig through screenshots.

What's included
Payment records gathered
We work from the payment history you export or send from Cash App, Venmo, Zelle and your bank, plus any notes on cash payments. We never ask for logins.
Sorted by person
Every payment is matched to the person or crew it went to, with nicknames and different app handles tied back to one name.
Yearly totals
We total what each person was paid for the year and show the payments behind each total, so your CPA can see where every number comes from.
W-9s collected
We check which payees have a W-9 on file, request the missing ones from your crew on your behalf and file them by person.
Questions flagged
Payments we cannot match, like a transfer with no note, go on a short list for you to answer instead of being guessed at.
CPA-ready package
You get an organized folder with the summary, the payment detail and the W-9s, ready for you to send to your CPA.
What you do
- Send payment history from each app and bank
- Tell us who the unmatched payments went to
- Send the package to your CPA
- Let your CPA decide classification and file
W-9s, 1099s and who decides what
Form W-9 gives a payer the name and taxpayer ID needed for 1099 reporting. If you paid someone as a contractor, a W-9 is how you get the information your CPA needs. It is much easier to collect while the person is still on your crew than after they have moved on, which is why we request missing W-9s right away.
Form 1099-NEC is generally due to the IRS and to recipients by January 31. That deadline is your CPA's to handle, and so is the filing itself. Starting a cleanup before year end gives your CPA more time with organized numbers. We do not file anything, track tax deadlines or give tax advice.
The biggest question in a cleanup like this is whether the people you paid were employees or independent contractors. That is your CPA's decision, not ours, and the rules matter. Bring your CPA the organized records from this cleanup and ask them how each worker should be treated and what to do next.

Payroll Cleanup FAQ
How much does payroll cleanup cost for a contractor who paid crews by Cash App?
Payroll Cleanup is a one-time $497. It covers organizing a year of payment records from Cash App, Venmo, Zelle, cash and your bank, sorting them by person, totaling the year and collecting W-9s. It is separate from our monthly plans, which start at $699 a month if you want ongoing payroll help afterward.
Will you file my 1099s or tell me if my crew are employees?
No, your CPA decides how each worker is classified and handles all filings, including 1099s. We do not give tax advice, do tax filings or track tax deadlines. Payroll Cleanup organizes your payment records and W-9s so your CPA has clean information to work from. Ask your CPA what to do with it.
When should I start a payroll cleanup?
Start as soon as you know your crew payments are scattered, ideally well before year end. Form 1099-NEC is generally due to the IRS and to recipients by January 31, and your CPA handles that filing, so the sooner your records are organized, the more time your CPA has. We reply within 1 business day once you reach out.
Do you need my Cash App, Venmo or bank login?
No, we never ask for bank or app logins and we never hold or move client money. You export or screenshot your payment history from each app and download your bank statements, then drop them in a shared Google folder. We work from those records only, and you stay in control of your accounts.
What if I paid some guys in cash with no record?
Tell us what you remember and we will list it separately with your notes, clearly marked as cash with no transfer record. We do not guess or fill in numbers on our own. Your CPA can then decide how to handle those payments. Any notebook, text message or receipt you have helps.
What tools do I need for payroll cleanup?
You need access to your own payment apps and bank to export history, and an email address. We set up a free shared Google Drive folder where you drop the files, and that is where the finished package goes. No new software to buy. If you want ongoing payroll afterward, that needs QuickBooks Online with QuickBooks Payroll.
