Back office help for concrete contractors

Outrigger Back Office does the billing and paperwork for small concrete contractors: invoices after every pour, builder and homeowner collections, change orders for extra thickness or extra yards, and pay apps with retainage on commercial jobs. You pour, and we send the bills and keep track of who paid.

Why concrete contractors call us

Concrete companies often have the busiest invoice pile in construction. A week might include two driveways, a patio, three house slabs for a builder, a sidewalk repair and a pour on a commercial job. Each one needs its own invoice, and each customer pays differently. Builders pay by house on their own schedule. Homeowners pay on completion, or sometimes forget. Commercial GCs want a pay app and a lien waiver and hold retainage.

When the owner is finishing slabs all day, those invoices go out late, or not at all. We send them within 1 business day of your request, from your own billing email, track who has paid, and send polite reminders on a schedule you approve. Every Monday you get one email showing what got paid, what is late and what we need from you.

Office headaches

What usually falls behind

Too many small invoices

Driveways, patios, slabs and repairs add up to a stack of small invoices every week. When billing slides, cash slides with it, and a few jobs never get billed.

Extra yards and add-ons given away

Thicker slabs, extra yards, added walks and pump trips get agreed to on site. Without a quick written change order, they are hard to collect later.

Builders who pay on their own clock

Each builder has its own invoice format, lot numbers and payment cycle. Keeping track of which houses are paid and which are past due gets confusing fast.

Commercial jobs with a different set of rules

A commercial pour means pay apps, lien waivers and retainage, which is a whole different process from residential billing and easy to get wrong when it only comes up now and then.

The office side

What the office side of a concrete company really looks like

The concrete office revolves around the pour schedule. Jobs move with the weather, inspections and pump availability, and every move shifts when you can bill. Each pour has its own paper: ready-mix tickets from the supplier, pump charges, rebar and wire, and the yards actually placed. If the slab came in thicker, the yards ran over, or the builder added a walkway at the last minute, that difference has to get onto a change order or the next invoice, or you just bought that concrete yourself.

Then the paperwork splits by customer. Residential builders often want an invoice per lot with the lot number and address, and some will not pay until they have your W-9 and current certificate of insurance on file. Homeowners need a simple, clear invoice. Commercial work brings schedules of values, monthly pay apps, lien waivers each draw and retainage held until the job is done. Your ready-mix and material suppliers may also need waivers from you or ask for theirs. Keeping all of that straight at night is a lot.

How we handle it

  • Invoices out within 1 business day. Text or email us the job, lot or address and amount. We prepare the invoice in your QuickBooks, you approve it, and it goes out from your billing email.
  • Change orders before the concrete sets. Send us the GC or builder, project, scope, price and payment terms for the extra work. We write it the same day if we get it by 2 pm and bill it with the next invoice after approval.
  • Builder accounts tracked by lot. We track every invoice by builder and lot, send reminders before and after the due date, and keep your W-9 and COI ready to send when a builder asks for them.
  • Commercial pay apps handled. On commercial jobs we set up the schedule of values, prepare monthly pay apps and lien waivers for you to sign, and keep a running retainage total by job.

Concrete Contractors FAQ

How do I keep up with invoicing for a concrete business?

Send every job to someone whose only job is to bill it. With Outrigger, you text or email us the job details after the pour, and the invoice goes out within 1 business day from your own billing email after you approve it. We track payment by builder, lot or homeowner and send polite reminders on a schedule you choose.

Do you work with concrete contractors outside Georgia?

Yes, we work with concrete contractors anywhere in the U.S. We are based in Georgia, but everything happens by phone, text, email and shared Google folders, and invoices go out from your own billing email with your company name. Lien waiver forms and payment rules vary by state, so we use the forms your GC or attorney provides.

Which plan fits a concrete company with lots of small jobs?

It depends mostly on invoice count. Plans start at $699 a month with Essentials, which covers up to 8 invoices and 4 change orders a month. Busy residential crews usually need Standard, with up to 20 invoices and pay apps for commercial work, or Full Office, with up to 40. Extra invoices are $15 each. See the Plans page for details.

Do you set my prices per yard or per square foot?

No, we do not set prices or write your bids. You decide what to charge. We take your prices and put them on clean invoices and change orders, track what is owed, and follow up on payments. If a builder or GC questions a contract term, that is a conversation for you and, if needed, your attorney.
